Getting started
Basic answers for new users setting up Gatepass for the first time.
What is Gatepass used for?+
Gatepass helps teams create forms, collect responses, capture ID records, register event attendees, generate badges or ID cards, verify records and export data.
What should I create first?+
Start from the Create page. Choose Standard Form, ID Capture, or Events & Badges depending on the type of project you want to run.
Can I use templates?+
Yes. Templates are grouped by product type so you can start faster with forms, ID capture projects, and event or badge projects.
Can people submit without an account?+
Yes. People who fill your public forms, ID capture forms or event registration links do not need a Gatepass account.
Standard forms
Questions about form creation, responses and exports.
How many standard forms can I keep active?+
Free Mode currently allows 10 active standard forms. Archived forms keep their data but do not use an active slot.
How many free form responses do I get?+
Free Mode includes 50 form responses per month across all standard forms in the workspace.
Does archiving a form delete responses?+
No. Archived forms keep their existing responses and reports. They simply stop collecting new responses and free an active slot.
Can I buy more responses?+
Yes. You can buy response packs. Extra responses are shared across the workspace, not limited to one form.
ID capture
Questions about ID records, review and card generation.
How many ID projects can I keep active?+
Free Mode currently allows 5 active ID capture projects. You can archive old projects when they are no longer collecting records.
What does an ID credit mean?+
One ID credit allows one approved ID card generation. Submissions can be reviewed first before a credit is used.
How many free ID cards can I generate?+
Free Mode includes 20 generated ID cards per month across your workspace.
Do rejected records consume ID credits?+
No. The clean rule is that ID credits are consumed when an ID card is generated, not when an unapproved record is submitted.
Events and badges
Questions about registration, attendee capacity, badges and passes.
How many active events can I run?+
Free Mode currently allows 5 active event or badge projects.
How many free attendees are included?+
Free Mode includes 50 attendee registrations per month across event projects in the workspace.
Do I pay separately for badge generation?+
No. For events, one attendee credit covers the registration and the badge or pass for that attendee.
What happens after the attendee limit is reached?+
The workspace needs more event attendee credits before more people can register under the paid capacity rules.
Billing and PayGo packs
Questions about Free Mode, packs, duration and limits.
Is Gatepass using monthly plans?+
The current setup is Free Mode plus PayGo packs. Users buy more responses, ID credits, event attendee credits, duration or export capacity when needed.
Does buying responses add more active forms?+
No. Response packs only increase response capacity. Active project limits are separate.
Can admin increase active project limits?+
Yes. If a workspace needs more than the default active limits, admin can grant extra active form, ID project or event project capacity.
Where do I see my usage?+
Open Usage & Packs inside the user dashboard to see active allowances, used counts and available packs.
Verification and exports
Questions about verified records, QR checks and exported files.
What does verification do?+
Verification helps confirm that a generated record, ID card, badge, pass or exported proof belongs to a valid Gatepass record.
Can I export responses?+
Yes. Exports are available from the dashboard where your workspace has the required allowance or pack.
Can archived projects still be exported?+
Yes. Archived projects keep their data, so existing records can still be reviewed and exported where permitted.
Should I share exported files publicly?+
Only share exported records with people who need them. Protect sensitive personal data and avoid unnecessary downloads.
Account and security
Questions about login, access, team use and safe data handling.
Should team members share one login?+
No. Each team member should use their own account so access and actions can be tracked properly.
Can I remove a team member?+
Yes. Workspace owners or admins should remove team members who no longer need access.
What should I include in a support request?+
Include your workspace name, project name, issue type, screenshots if available and a clear description of what happened.
What should I not send to support?+
Do not send passwords, full payment credentials, secret keys or unnecessary private documents.
